About Limited Submissions
Many funding agencies offer opportunities that restrict the number of applications allowed from an institution or from a unit within the institution. The URSA office manages internal competitions for limited proposal slots ONLY if a limitation is placed on the number of proposals that can be submitted by the institution as a whole or by individual colleges. The goal of this internal competition process is to ensure the most qualified application is submitted and to limit the time PIs spend preparing an application that cannot be submitted because of the funding agency’s limited submission policy.
If a limit is placed on the submission from a department / discipline, these should be managed and decided from within that department (contact the department chair).
It is the PI’s responsibility to identify a limited submission competition from the sponsor’s program announcement or from the sponsor and to notify URSA immediately of their interest in applying so that the internal decision process can be initiated in a timely manner. Anyone considering submitting a proposal to an external sponsor that limits the number of submissions from an institution or from colleges or schools within an institution should notify URSA as soon as possible and not later than 8-10 weeks before the sponsor’s proposal deadline. This internal deadline for notification applies also to any sponsor’s deadline for a requested Letter of Intent.
Notifications from faculty interested in applying for a limited submission opportunity should be received at least 8 weeks prior to the sponsor’s proposal submission deadline. If received after this, proposal slots will be awarded on a first-come-first served basis. Notification should consist of an email to firstname.lastname@example.org that includes the PI’s name, name of the grant competition, and a link to the program announcement (URL). If more notifications are received than there are proposal slots allowed, URSA will manage an internal competition for the allowed proposal slots.
- Cover Page: The cover page must include names of PI and co-PIs and their department or center affiliation, the sponsoring agency, URL link to the funding announcement, estimate of total budget to be requested, whether costshare is required and, if so, how much (percent or amount)
- 1-3 page pre-proposal summary about the project including a paragraph about the potential impact of the project on the investigator’s career and on Georgia State.
- Updated CVs/biosketches for PI and all listed co-PI. NIH or NSF formatted bio-sketches are acceptable.
The review process for limited submission pre-proposals will depend on the number of pre-proposals submitted and the type of grant mechanism. Reviews are conducted by an ad hoc committee of reviewers. The goal is to complete reviews and send out the final decision for an internal competition within five business days after the internal pre-proposal deadline.
